Phone Numbers and Voice Communications

When you add a phone number to your Aubern account, you verify it through a one-time passcode (OTP) sent via SMS or voice call. Verification confirms your ownership of that number.

Voice calls made to or from Aubern's AI assistant may be processed by our telephony provider (Vonage) and transcribed for the purpose of providing support and improving our service. Call content associated with your account is stored as part of your conversation history and subject to the same retention and deletion policies as other account data.

How We Use Your Information

We use collected information to:

• Provide, operate, and improve our platform and AI services
• Generate and manage project quotes on your behalf
• Authenticate your identity and secure your account
• Contact you about your account, quotes, or active projects
• Send transactional messages (OTP codes, payment confirmations)
• Comply with legal obligations

We do not sell your personal information to third parties. We do not use your information for advertising purposes.

When We Share Information

We share your information only in the following circumstances:

• Service providers — Vonage (telephony), Stripe (payments), OpenAI (AI processing), hosting infrastructure. All providers are bound by data processing agreements.
• Your organization or team — if you belong to a shared Aubern workspace, members with appropriate permissions may access shared project data per your organization's settings.
• Legal requirements — if required by law, court order, or to protect the rights and safety of Aubern or others.

Data Retention

We retain your account data for as long as your account is active or as needed to provide services. If you close your account, we will delete or anonymize your personal information within 90 days, except where retention is required by law or for legitimate business purposes such as fraud prevention or dispute resolution.

Soft-deleted records (such as archived quotes) may be retained for up to 12 months before permanent deletion.

Your Rights and Controls

You have the right to:

• Access the personal information we hold about you
• Correct inaccurate information in your account
• Delete your account and associated personal data
• Remove a verified phone number to opt out of voice communications
• Request a copy of your data in a portable format
• Object to certain processing activities

How We Protect Your Data

Aubern implements industry-standard security practices including TLS encryption in transit, encrypted storage for sensitive fields, multi-factor authentication for administrative access, regular security reviews, and access controls based on the principle of least privilege.

No system is perfectly secure. If you believe your account has been compromised, contact us immediately.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by a prominent notice on the platform. The effective date at the top of this page will always reflect the most recent revision. Continued use of Aubern services after changes take effect constitutes acceptance of the updated policy.
